Machine Reservation Policy
Machine reservations help keep shared equipment available, organized, and fair for members, students, business users, and staff production work.
1. Reservations May Be Required
Certain machines may require advance reservation, including lasers, CNC equipment, plasma equipment, printers, embroidery machines, heat press stations, and other high-demand equipment.
2. Eligibility
Users must meet all requirements before reserving equipment. Requirements may include:
- Active membership
- Paid class registration
- Completed training
- Equipment certification
- Staff approval
- Account in good standing
- Approved materials
- Signed waiver
3. Reservation Length
Reservation length may vary by equipment, membership level, project type, and availability.
Geaux Cajun IT may limit reservation time during peak hours or for high-demand equipment.
4. Late Arrival
If a user is late, Geaux Cajun IT may shorten the reservation or release the machine to another user.
5. No-Shows
No-shows may result in fees, loss of booking privileges, or reduced access.
6. Setup and Cleanup Time
Reservation time includes setup, testing, production, cleanup, and removal of materials unless otherwise stated.
Users should reserve enough time to complete the full process.
7. Materials Must Be Ready
Users should arrive with files, materials, settings, and designs ready. Staff may help when available, but design support, file repair, setup, or troubleshooting may require paid assistance.
8. Priority Access
Priority access may be given to classes, staff production, maintenance, Pro members, Business members, private bay users, or scheduled commercial jobs depending on the situation.
9. Machine Downtime
Machines may be unavailable due to maintenance, repair, calibration, safety checks, staff use, classes, or unexpected issues.
Geaux Cajun IT is not responsible for lost business, missed deadlines, or project delays caused by equipment downtime.
10. Staff May Stop Use
Staff may stop or pause a reservation due to safety issues, wrong materials, machine risk, misuse, fire risk, excessive odor, poor file setup, or policy violation.
11. Fees
Machine time fees, material fees, training fees, cleaning fees, damage fees, or staff assistance fees may apply depending on membership level and project type.
